The Onsite Corporate Administrator is an on site extension to the various departments of the Corporate Office including but not limited to Accounting, Human Resources, Public Relations, Marketing, Purchasing, Facilities Management, IT, and Event Coordination. This person’s highest priority is to ensure standardization and compliance of all the regulations, policies and procedures set forth by the Corporate Office. The OCA will also assist GM with all day to day administrative tasks.
JOB DUTIES:
Marketing & PR – Reports to Executive Director of Corporate Operations & Marketing Participate in weekly Marketing & PR conference calls with the Corporate Office and peers from each location Act as the Marketing & PR liaison between the Corporate Office, General Manager and Chefs Review details of Marketing & PR efforts with the local service and host staff Coordinate the development and implementation of Marketing & PR campaigns, including holidays and proprietary events; report on the effectiveness of campaigns in the local market Coordinate and host media meals and other strategic meals; report on the effectiveness of strategic dinners Research and coordinate restaurant’s participation in 2-3 location-specific external events per year; attend events and report on the effectiveness of strategic events. Manage media enquiries, photo shoots, interviews, etc. Distribute promotional material in the restaurant and throughout the community Monitor Host Staff phone etiquette, company information, and on hold music Administer the local concierge program and build concierge database Administer the local philanthropy program and build philanthropy database Administer the local customer loyalty program and build customer contact database Assist with content management of restaurant web page
Accounting- Reports to the Controller Responsible for daily bank deposits, bar bank change and petty cash reconciliation Review of daily POS Closing reports, Credit card batch report, and signed c.c. slips Preparation of weekly Corporate package including but not limited to invoices, mail, payroll, employee forms, etc. Analysis of weekly cost reports distributed by Corporate Miscellaneous Data Entry Chargeback/Refund requests
Human Resources- Reports to Human Resource Manager and Director of HR Print, review, and adjust payroll weekly and distribute to the GM and Executive chefs for approval and signatures. Completion of all employee related paperwork including but not limited to New Hire Packets, Raise Approvals, Vacation/Sick/Personal/Comp Day requests, Termination forms, Worker’s Comp claims, Health/Dental Enrollment forms, etc. Comp claims, etc. Conduct Reference Checks for all HOURLY Employees. Employee relations and spokesperson for all HR Related Announcements Weekly Samba Dollar reconciliation Maintenance and Compliance of all labor law policies and mandated postings
Facilities Management- Reports to Manager of Facilities
Ensure that proper licenses and permits are current and posted Ensure compliance of health, fire, and safety codes Follow up with corrections of violations Programming of all necessary changes in POS, Open Table, Gift Card Services, etc.
MINIMUM QUALIFICATIONS: High school Diploma Requires at least 1-2 years of experience in a related field, preferably within the food industry Must have typing, computer skills and knowledge of Microsoft Office Good oral, writing , and people skills
